Scope and Roles

Klevian is a B2B hiring platform. In many cases, Klevian processes candidate and hiring-workflow data on behalf of an employer, recruiter, or hiring team.

Customers generally act as the controller, business, employer, or primary decision-maker for customer-managed hiring data, while Klevian acts as processor, service provider, contractor, or equivalent service-provider role.

Information We Collect

Depending on how you use Klevian, we may collect account and identity information, customer and billing information, candidate and recruiting data, interview and communications data, technical/device/security data, and support communications.

Candidate and recruiting data can include names, email addresses, phone numbers, location, LinkedIn URLs, resumes, resume text, profile images, job application context, interview sessions, evaluation outputs, recruiter notes, workflow status, and related hiring data.

Interview and communications data can include transcripts, summaries, recommendations, messages, scheduling data, and, where enabled, audio recordings, video recordings, playback artifacts, and live interview metadata.

AI Features, Interview Processing, and Human Oversight

Klevian includes AI-powered interview and analysis features that may process prompts, transcripts, interview responses, evaluation signals, role context, recruiter inputs, and workflow information to generate questions, summaries, scores, recommendations, and operational support.

AI features are designed to support hiring workflows, not replace customer responsibility for legally compliant human review. Customers remain responsible for employment, anti-discrimination, privacy, accessibility, and AI-related compliance.

AI Training, Model Improvement, and Service Data

Klevian will not use Customer Data or Candidate Data to train, retrain, fine-tune, improve, or develop shared or generalized AI models for unrelated customers or third parties unless the relevant customer expressly opts in through a separate written agreement signed by Klevian.

Absent express written opt-in, Klevian does not use resumes, applications, interview recordings, audio or video submissions, transcripts, assessment responses, recruiter comments, candidate rankings, candidate scores, or identifiable customer-controlled hiring data for generalized or shared model training.

Cookies, Sessions, and Similar Technologies

Klevian uses cookies and similar technologies reasonably necessary to operate the platform, maintain sessions, preserve authentication and security context, support product access, and remember core service preferences.

Klevian may use local storage, session identifiers, tokens, or signed URLs to enable secure product functions such as candidate access, file uploads, artifact playback, and authenticated workflows.

When We Disclose Information

Klevian may disclose personal information to the customer managing the recruiting workflow, vendors and subprocessors that help operate the service, professional advisors, legal authorities where required, and counterparties in corporate transactions subject to appropriate protections.

  • OpenAI: AI-powered interview, analysis, and model-assisted product features routed server-side.
  • Stripe: subscription billing, payment workflows, invoicing support, and related billing records.
  • Firebase: authentication, identity, and account-access services.
  • Amazon Web Services: infrastructure, storage, and secure file-handling workflows.
  • Daily: live interview video and meeting-room functionality where enabled.
  • Resend and transactional email tooling: operational, transactional, and account-related email delivery.

Security

Klevian uses administrative, technical, and organizational safeguards designed to protect personal information, including access controls, authentication, encryption in transit, segmented service roles, signed access mechanisms, audit logging, redaction-oriented logging, and operational monitoring where applicable.

No method of transmission, storage, or security control is completely secure, so Klevian cannot guarantee absolute security.

Data Retention

Klevian retains personal information for as long as reasonably necessary to provide services, maintain security, satisfy contracts, resolve disputes, enforce agreements, and comply with legal obligations.

Retention periods vary by data type and customer configuration. Candidate records, transcripts, recordings, and workflow artifacts may follow customer settings, job configuration, operational needs, and applicable law.

Your Rights and Choices

Depending on location and the nature of processing, you may have rights to access, correction, deletion, export, restriction, objection, consent withdrawal, or complaint to a regulator.

Some requests may need to be directed to the employer, recruiter, or hiring team that controls the hiring workflow. Klevian may assist customers with those requests where contractually and legally appropriate.

Candidates and Customer-Controlled Data

If you are a candidate, applicant, contractor, or interview participant using Klevian through an employer, recruiter, or hiring team, that organization may be the primary controller, business, employer, or decision-maker responsible for the hiring workflow.
